Job Description: Operations Coordinator (Short-Term Rentals) — Full-Time
About the Company
We are a young, fast-growing short-term rental management company operating in the beautiful Algarve, based in Vilamoura. We currently manage a boutique portfolio of 15 properties and are actively scaling our infrastructure to expand. Our company also includes a real estate agency department, bringing our total team to 5 people.
We operate on a modern, decentralized management model. We believe in autonomy, trust, and clear, non-overlapping responsibilities so everyone can execute their roles efficiently without micromanagement. We are a social and collaborative young team that celebrates growth together.
Role Overview
As the Operations Coordinator, you will be the beating heart of our real-time, daily operations. You own the live guest journey, housekeeping logistics, and property readiness. Your primary goal is to ensure a flawless 5-star experience for every guest while maintaining peak operational efficiency on the ground.
This is a full-time, autonomous role with decision-making power. It offers great flexibility as you can schedule your own agenda with no fixed office hours, but it requires adaptability to some irregular working hours.
Key Responsibilities
1. Real-Time Guest & Platform Management
- Live Guest Communication: Manage all day-to-day guest inquiries, check-in coordination, and on-site requests via our PMS and booking channels (Airbnb, Booking.com, etc.).
- Review & Reputation Management: Proactively drive 5-star reviews through exceptional service and swift, empathetic problem-solving.
- Upsells & Experience Enhancements: Drive additional revenue by promoting local experiences, car rentals, mid-stay cleans, and early/late check-in options.
2. Housekeeping & Logistics Operations
- Cleaning Management: Coordinate and oversee all (outsourced) cleaning operations to guarantee premium hospitality standards.
- Inventory & Linen Management: Monitor and maintain stock levels of linens, consumables, and welcome amenities across all properties.
3. Real-Time Property Maintenance & Issues
- First-Line Maintenance: Act as the first point of contact for maintenance issues reported by guests or cleaners, dispatching contractors swiftly when required.
- Damage Documentation: Identify, document, and initiate damage compensation claims on platforms (e.g., Airbnb AirCover).
4. Property Administration
- Owner Statement Preparation: Compile accurate monthly booking data and operational expenses to support the financial close.
5. Availability, Flexibility & Rotations
- Dynamic Work Hours: Embrace a flexible schedule that you can put together yourself.
- Emergency Rotations: Share a structured evening and weekend standby- emergency rotation schedule with the team to handle potential urgent guest situations or critical maintenance outside of standard business hours.
Candidate Profile & Requirements
- Experience: Prior hands-on experience in short-term rental management, hospitality operations, or premium guest relations is a big plus, but not mandatory. We value the right attitude, energy, and eagerness to learn over a perfect resume.
- Technological Understanding: Comfort with technology and an ability to quickly pick up Property Management Systems (PMS), Airbnb/Booking.com backends, and digital communication tools is important.
- Languages: Fluency in English is mandatory (our primary language for international guests and system administration). Fluency or strong working proficiency in Portuguese is highly preferred to coordinate effectively with local cleaners and maintenance contractors.
- Mindset: A natural problem-solver who thrives in a fast-paced environment. You are highly organized, stress-resilient, socially outgoing, and comfortable making autonomous, on-the-spot decisions.
- Logistics: A valid driver’s license is required for property visits across the Algarve.
