We are a Portuguese company operating internationally in the fields of international engineering and industrial projects. As our business continues to grow, we are seeking a highly organized, proactive, and detail-oriented Administrative Assistant to support management and coordinate administrative activities across multiple international projects and business operations.
Key Responsibilities
- Manage calendars, schedules, appointments, and business meetings.
- Coordinate internal and external meetings, including preparation of agendas, meeting minutes, and follow-up actions.
- Organize business travel arrangements, including flights, accommodation, visas, and itineraries.
- Manage correspondence, emails, phone calls, and communication with clients, suppliers, and partners.
- Prepare, review, and maintain company documents, reports, presentations, and records.
- Support management in administrative, commercial, and operational activities.
- Coordinate with international clients, suppliers, and service providers.
- Maintain filing systems and ensure proper document control.
- Assist with procurement, logistics, invoicing, and administrative processes.
- Track deadlines and ensure timely completion of tasks and follow-ups.
- Support special projects and handle confidential information with professionalism.
Qualifications & Requirements
- Bachelor's degree in Business Administration, Management, Economics, Engineering, Languages, or a related field.
- Minimum 2 years of experience in an Administrative Assistant, Executive Assistant, Office Coordinator, or similar role.
- Fluent English (written and spoken) is mandatory.
- Portuguese proficiency is required.
- Excellent command of Microsoft Office (Excel, Word, Outlook, PowerPoint).
- Strong organizational and multitasking skills.
- Ability to prioritize tasks and work effectively under pressure.
- Excellent communication and interpersonal skills.
- Strong attention to detail and problem-solving abilities.
- Professional appearance and conduct.
- Ability to work independently while maintaining effective collaboration with the team.
- Experience working in international business environments is highly valued.
- Knowledge of international trade documentation, procurement processes, or ERP systems will be considered a strong advantage.
