Key responsibilities:
- Manage and maintain the day-to-day administrative needs of two businesses operating from the same location.
- Serve as a central point of coordination for financial, administrative, and operational matters across both companies.
- Maintain organized financial records, invoices, receipts, expenses, payments, and other company documentation.
- Monitor accounts payable and accounts receivable, ensuring bills and obligations are handled on time and outstanding payments are followed up on.
- Coordinate with accountants, bookkeepers, banks, vendors, and other external professionals as needed.
- Monitor company accounts and financial activity, identifying discrepancies, unusual expenses, or items requiring attention.
- Assist with cash-flow monitoring, budgeting, expense tracking, and general financial oversight.
- Ensure recurring payments, subscriptions, contracts, insurance, licenses, and other ongoing business obligations remain current.
- Keep important deadlines, renewals, filings, payments, and administrative requirements organized and on schedule.
- Maintain accurate and well-organized company records, contracts, correspondence, and confidential information.
- Oversee general office and business administration, ensuring both companies have what they need to operate efficiently.
- Coordinate with employees, contractors, suppliers, and service providers to ensure tasks and responsibilities are completed.
- Establish and maintain organized systems and procedures for managing administrative and operational responsibilities.
- Assist with purchasing, vendor management, and ensuring the businesses are receiving appropriate value from ongoing services.
- Help coordinate meetings, appointments, schedules, and other business activities as required.
- Handle sensitive and confidential business and financial information with discretion and professionalism.
