We are looking for a proactive and highly organised Office Manager to take full ownership of our Lisbon office and support the broader Southern Europe platform. This role goes beyond traditional office management. It sits at the centre of the team, ensuring that the office runs smoothly, compliance requirements are met, and people are supported in a structured and efficient environment. The position combines office operations, basic compliance oversight (WHS, ESG, local requirements), and support to HR and payroll processes.

Office Management & Operations

Take full ownership of the Lisbon office, ensuring it is well-organised, functional and aligned with company standards

Act as the main point of contact for all office-related matters (suppliers, landlord, service providers)

Manage office budget, procurement, and day-to-day logistics
Compliance, WHS & ESG

Ensure compliance with local office regulations in Portugal

Maintain and monitor Workplace Health & Safety (WHS) standards within the office
-
Support implementation and tracking of ESG-related initiatives at office level (e.g. waste management, energy use, sustainable procurement)

Act as point of coordination with central teams (HR, Legal, ESG, Risk) where needed
HR & Payroll Support (Southern Europe)

Support HR operations in Portugal and Italy (and Spain in the future), including Recruitment support, onboarding, offboarding and employee administration.

Coordinate with external payroll providers and internal finance/HR teams

Ensure accurate and timely collection of payroll-related inputs.

Maintain employee records and documentation in line with local requirements
Team Support & Coordination

Act as a coordination point for the Portuguese team in close cooperation with the Country Manager and COO
-
Support internal processes, scheduling, and basic project coordination where needed

Help new joiners integrate smoothly into the team and office environment

Proactively identify gaps or inefficiencies and implement practical solutions

1-2 years’ experience Office Management experience in an international environment.

Strong organisational skills with high attention to detail

Experience with operational HR tasks is a plus.

Proactive mindset with a clear sense of ownership and accountability

Ability to manage multiple topics across different countries simultaneously

Structured, reliable, and able to bring order to a fast-moving environment

Good interpersonal skills and ability to support a diverse team

Comfortable working with external providers (payroll, office services, etc.)

Fluent in both English and Portuguese
