Vielfältige Aufgaben
- Serve as the onsite point of contact for organizational topics, collaborating with international management and bridging communication between the Lisbon offices and the German headquarters.
- Adapt EnBW Group's processes and regulatory requirements to align with local, country-specific standards.
- Act as the central interface for the building landlord, service providers and external partners, ensuring smooth operations and overseeing their activities.
- Take ownership of office operations, facilities, maintenance, logistics, inventory and workplace services, ensuring a safe, compliant and efficient working environment.
- Monitor office maintenance and building works, coordinating activities and validating completed work.
- Manage Health, Safety and Security measures and act as the appointed Health& Safety Delegate.
- Manage the office budget and oversee office-related cost planning and control.
- Plan and coordinate procurement activities, execute purchases and ensure compliance with group-wide regulations.
- Negotiate and manage office-related contracts and partnerships.
- Take ownership of operational tasks such as orders, travel management and expense handling, ensuring compliance with group-wide regulations.
- Be the go-to person for all employees, providing assistance and guidance on various topics.
- Handle general ad hoc administration tasks, always looking for ways to streamline and improve processes.
Überzeugendes Profil
- Proven track record of working in an international context, preferably in a complex and fast-changing environment, with experience in successfully initiating and leading projects.
- Several years of experience in office management, facilities management or administrative operations.
- Strong budgeting, procurement and negotiation skills.
- Strong problem-solving, conflict management and stakeholder management skills.
- Strong knowledge of MS 365 collaboration tools (MS SharePoint, MS Teams) and advanced skills in MS Office (Excel, Word, PowerPoint, Outlook).
- Ability to work methodically, follow through on tasks, adapt to changing circumstances, and proactively identify and address risks with stakeholders.
- Innovation and creativity in improving office operations and workplace experience.
- Strong planning, organizational and time management skills with a results-oriented mindset.
- Critical thinking, adaptability to change and a proactive approach to getting things done.
- A natural ability to build effective working relationships with internal and external stakeholders across different locations.
- Language Skills: Excellent English communication skills (Portuguese is a plus).
Über den Bereich
As our designated Office Manager, you will be responsible for managing office operations, facilities and organizational topics within our Lisbon IT hub. You will work closely with our international management team, act as the main point of contact for the building landlord and external service providers, oversee Health, Safety and Security requirements, manage the office budget and procurement activities, and play a key role in shaping operational processes as we continue to grow our activities in Portugal.
